Subilex Policies

1. Terms of Service

1.1 Acceptance of Terms

By accessing or using the Subilex platform ("Service"), you agree to be bound by these Terms of Service ("Terms"). If you do not agree to these Terms, you must not use our Service. These Terms constitute a legally binding agreement between you ("User," "you," or "your") and Subilex ("we," "us," or "our").

1.2 Description of Service

Subilex provides an online platform for domain name registration, business email hosting, SSL certificate management, and related internet services. Our services include:

  • Domain name search, registration, renewal, and transfer
  • Business email mailbox creation and management on your own domain (registered here or brought from any registrar)
  • SSL certificate provisioning
  • Domain marketplace for buying and selling domains
  • DNS management and configuration tools
  • Account management and billing services

1.3 Account Registration

To use certain features of our Service, you must create an account. You agree to:

  • Provide accurate, current, and complete information during registration
  • Maintain the security of your password and account credentials
  • Promptly update your account information if it changes
  • Accept responsibility for all activities that occur under your account
  • Notify us immediately of any unauthorized use of your account

You must be at least 18 years of age to create an account. By creating an account, you represent and warrant that you are at least 18 years old.

1.4 User Responsibilities

You are responsible for:

  • All activity that occurs under your account
  • Maintaining accurate and up-to-date contact information for domain registrations
  • Complying with all applicable laws and regulations regarding domain name use
  • Renewing domains before they expire to avoid loss of registration

1.5 Account Security

You are responsible for maintaining the confidentiality of your account credentials. You agree to immediately notify Subilex of any unauthorized use of your account. Subilex shall not be liable for any loss arising from unauthorized use of your credentials.

1.6 Prohibited Activities

You shall not:

  • Use the Service for any unlawful purpose or in violation of any applicable law
  • Register domain names for the purpose of trademark infringement or cybersquatting
  • Use the Service to send spam, phishing emails, or other unsolicited communications
  • Attempt to gain unauthorized access to any part of the Service
  • Interfere with or disrupt the Service or servers connected to the Service
  • Use automated systems (bots, scrapers) to access the Service without written permission
  • Resell Subilex services without an authorized reseller agreement

1.7 Intellectual Property

All content, trademarks, logos, and intellectual property on the Subilex platform are owned by or licensed to Subilex. You may not copy, modify, distribute, or reverse-engineer any part of our Service without prior written consent.

1.8 Service Modifications

Subilex reserves the right to modify, suspend, or discontinue any part of the Service at any time with reasonable notice. We will make commercially reasonable efforts to notify you of significant changes.

2. Privacy Policy

2.1 Information We Collect

We collect the following types of information:

  • Account Information: Name, email address, phone number, and password when you create an account
  • Payment Information: Billing address, payment method details (processed securely through our payment processors)
  • Domain Registration Data: WHOIS information required for domain registration including registrant name, organization, address, and contact details
  • Usage Data: IP addresses, browser type, operating system, pages visited, and interaction data
  • Communication Data: Emails, support tickets, and other communications with Subilex
  • Login Sessions: IP address, browser, OS, device type, and login timestamps for security purposes

2.2 How We Use Your Information

We use your information to:

  • Provide, maintain, and improve our services
  • Process domain registrations, renewals, and transfers with ICANN-accredited registries
  • Process payments and send billing-related communications
  • Send service-related notifications (expiration reminders, renewal notices, security alerts)
  • Detect and prevent fraud, abuse, and security incidents
  • Comply with legal obligations and ICANN policies
  • Communicate with you about updates, promotions, and service changes

2.3 Information Sharing

We may share your information with:

  • ICANN and Registries: Domain registration data is shared with ICANN-accredited registries as required for domain registration
  • WHOIS: Certain domain registration data may be publicly available through the WHOIS database
  • Payment Processors: Stripe and PayPal for payment processing
  • Service Providers: Third-party vendors who assist in operating our services (hosting, email delivery, analytics)
  • Legal Authorities: When required by law, court order, or to protect our rights

We do not sell your personal information to third parties for marketing purposes.

2.4 Data Retention

We retain your information for as long as your account is active or as needed to provide services. After account deletion, we may retain certain data for up to 7 years to comply with legal obligations, resolve disputes, and enforce agreements. Domain registration data may be retained longer as required by ICANN policy.

2.5 Data Security

We implement industry-standard security measures including:

  • Encryption of data in transit (TLS/SSL) and at rest
  • Secure password hashing (bcrypt with salt rounds 12)
  • Regular security audits and vulnerability assessments
  • Access controls and authentication mechanisms
  • Monitoring for unauthorized access attempts

While we strive to protect your information, no method of transmission over the Internet is 100% secure.

2.6 Cookies and Tracking

We use cookies and similar technologies to:

  • Maintain your session and keep you logged in
  • Remember your preferences and settings
  • Analyze usage patterns to improve our service
  • Detect and prevent fraud

You can control cookies through your browser settings, though disabling cookies may limit some functionality.

2.7 Your Rights

Depending on your jurisdiction, you may have the right to:

  • Access the personal information we hold about you
  • Correct inaccurate or incomplete information
  • Request deletion of your personal information
  • Object to or restrict certain processing of your data
  • Data portability — receive your data in a structured, machine-readable format
  • Withdraw consent where processing is based on consent

2.8 International Data Transfers

Your information may be processed in countries other than your own. We ensure appropriate safeguards are in place for international transfers, including standard contractual clauses where required.

2.9 Children's Privacy

Our Service is not directed to individuals under 18. We do not knowingly collect personal information from children under 18. If we become aware that we have collected such information, we will take steps to delete it promptly.

2.10 Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of significant changes by posting the new policy on this page and updating the "Last updated" date.

3. Refund Policy — No Refunds

IMPORTANT: ALL SALES ARE FINAL. SUBILEX DOES NOT OFFER REFUNDS.

3.1 General No-Refund Policy

All payments made to Subilex are final and non-refundable. By purchasing any service from Subilex, you acknowledge and agree that no refunds will be issued for any reason, including but not limited to:

  • Domain name registrations, renewals, or transfers
  • Business email mailbox subscriptions
  • SSL certificate purchases
  • Account balance deposits
  • Any additional services or features purchased through the platform

3.2 Domain Registration — No Refunds

Once a domain name is successfully registered, no refund will be issued under any circumstances. This includes:

  • Domains registered by mistake or typo
  • Domains you no longer want or need
  • Domains registered with incorrect WHOIS information
  • Domains that are suspended or deleted due to policy violations

Domain registrations are processed immediately to the registry. Once the registry confirms registration, the process cannot be reversed.

3.3 Email Services — No Refunds

Email mailbox subscriptions are non-refundable. Monthly or annual fees for email hosting are charged in advance and will not be prorated or refunded for partial usage periods.

3.4 SSL Certificates — No Refunds

SSL certificate purchases are non-refundable once issued. Certificates are tied to specific domains and cannot be transferred or refunded.

3.5 Account Balance — No Refunds

Funds deposited into your Subilex account balance are non-refundable. Account balance can be used for purchases on the platform but cannot be withdrawn or refunded to the original payment method.

3.6 Billing Errors

If you believe you were charged in error, contact our support team within 7 days of the charge. While we do not offer refunds, we will investigate billing discrepancies and may credit your account if an error is confirmed on our part.

3.7 Chargebacks

Filing a chargeback or payment dispute without first contacting Subilex support is a violation of these Terms. We reserve the right to:

  • Suspend or terminate your account
  • Report fraudulent chargebacks to payment processors
  • Pursue collection for any outstanding balances
  • Block future registrations from your account

3.8 Exceptions

The only circumstance under which a credit may be considered is if Subilex is unable to deliver a service you paid for due to a technical failure on our end. In such cases, we may, at our sole discretion, issue an account credit — not a refund.

4. Domain Registration Policy

4.1 Registration Terms

Domain names are registered for the period selected at the time of purchase (typically 1-10 years). Registration is subject to the policies of ICANN and the relevant domain registry.

4.2 WHOIS Information

You are required to provide accurate and complete WHOIS information for all domain registrations. Failure to maintain accurate WHOIS data may result in domain suspension or deletion per ICANN policy.

4.3 Domain Renewal

It is your responsibility to renew domains before they expire. Subilex may send renewal reminders as a courtesy, but we are not responsible for domains that expire due to missed renewals. Expired domains may be subject to redemption fees or permanent deletion.

4.4 Domain Transfer

Domains can be transferred to or from Subilex subject to ICANN transfer policies. Transfer-locked domains must be unlocked before transfer. Transfer fees may apply.

4.5 Domain Disputes

Domain name disputes are governed by the Uniform Domain-Name Dispute-Resolution Policy (UDRP). You agree to be bound by UDRP proceedings for any domain you register through Subilex.

4.6 Premium Domains

Certain domain names are classified as "premium" and priced accordingly. Premium domain pricing is determined by the registry and is non-negotiable. Premium domain purchases are non-refundable.

4.7 Domain Marketplace

Domains listed on the Subilex marketplace are sold by third-party sellers. Subilex acts as an intermediary and is not responsible for the quality, accuracy, or legality of marketplace listings. All marketplace sales are final.

5. Email Policy

5.1 Email Service Description

Subilex provides business email hosting services through self-hosted mail servers. Email plans include a specified number of mailboxes and storage allocation as described at the time of purchase.

5.2 Domain Requirement for Company Email

A verified domain is required before you can create or purchase any company email address. This applies to every mailbox:

  • You may use a domain registered through Subilex (verified automatically) or a domain you already own at another registrar — Namecheap, GoDaddy, Cloudflare, Porkbun, Google/Squarespace, or any other provider.
  • Ownership of externally registered domains is proven via a DNS TXT record (_subilex-verify.yourdomain.com). Mailboxes cannot be created on a domain until this verification succeeds.
  • Addresses on providers you do not own (e.g. gmail.com, outlook.com) cannot be created, because ownership of those domains cannot be proven in DNS.
  • Subilex does not offer mailboxes on a shared or free domain.
  • Pending (unverified) domains can be cancelled and re-added at any time; verified domains remain attached to your account while they have active services.

5.3 DNS Records & Mail Delivery

For mail on your domain to send and receive through Subilex's servers, you must maintain the DNS records shown during verification (MX, SPF, and DMARC; plus an A record where applicable) in your registrar's DNS panel. If these records are removed or changed, delivery may fail. Subilex is not responsible for lost or undelivered mail caused by missing, incorrect, or delayed DNS records at your registrar.

5.4 Acceptable Email Use

You agree not to use our email services for:

  • Sending spam, bulk unsolicited emails, or marketing communications without proper consent
  • Phishing, fraud, or social engineering attacks
  • Distributing malware, viruses, or malicious content
  • Harassment, threats, or illegal communications
  • Impersonating others or falsifying email headers
  • Violating any applicable laws or regulations

5.5 Email Storage

Mailbox storage is limited to the quota assigned to your plan. Exceeding your storage quota may result in inability to send or receive emails. Subilex is not responsible for lost emails due to exceeded storage limits.

5.6 Email Retention

We may retain email data for a period after account deletion to comply with legal obligations. Email data is not guaranteed to be recoverable after deletion.

6. Acceptable Use Policy

6.1 Prohibited Domain Uses

You may not use domains registered through Subilex for:

  • Malware distribution, phishing, or cyberattacks
  • Illegal gambling, narcotics, or other prohibited activities
  • Trademark infringement or brand impersonation
  • Adult content in violation of applicable laws
  • Sale of counterfeit or illegal goods

6.2 Resource Usage

You may not use Subilex services to:

  • Overload our systems with excessive requests or data
  • Circumvent rate limits or security measures
  • Attempt to access other users' accounts or data
  • Use automated tools to scrape or harvest data from our platform

6.3 Enforcement

Violations of this policy may result in:

  • Warning notices
  • Temporary suspension of services
  • Permanent account termination
  • Domain suspension or deletion
  • Reporting to law enforcement authorities

7. Limitation of Liability

7.1 No Warranties

THE SERVICE IS PROVIDED "AS IS" AND "AS AVAILABLE" WITHOUT WARRANTIES OF ANY KIND, EITHER EXPRESS OR IMPLIED, INCLUDING BUT NOT LIMITED TO IMPLIED WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, OR NON-INFRINGEMENT.

7.2 Limitation

TO THE MAXIMUM EXTENT PERMITTED BY LAW, SUBILEX SHALL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, INCLUDING BUT NOT LIMITED TO LOSS OF PROFITS, DATA, USE, OR BUSINESS OPPORTUNITIES, ARISING FROM YOUR USE OF THE SERVICE.

7.3 Maximum Liability

IN NO EVENT SHALL SUBILEX'S TOTAL LIABILITY EXCEED THE AMOUNT PAID BY YOU TO SUBILEX DURING THE TWELVE (12) MONTHS PRECEDING THE CLAIM.

7.4 Service Interruptions

Subilex is not liable for service interruptions, including but not limited to:

  • Scheduled maintenance or downtime
  • Registry or ICANN outages
  • Internet connectivity issues
  • Force majeure events

7.5 Domain Loss

Subilex is not liable for any loss of domain names due to:

  • Expiration resulting from failure to renew
  • Suspension or deletion due to WHOIS inaccuracies
  • UDRP or legal proceedings
  • Registry or ICANN actions

8. Termination

8.1 Termination by You

You may terminate your account at any time by contacting support or through your account settings. Termination does not entitle you to any refund.

8.2 Termination by Subilex

Subilex may suspend or terminate your account if:

  • You violate these Terms of Service
  • You engage in prohibited activities
  • Your payment method fails and is not updated
  • We are required to do so by law or ICANN policy
  • Your account has been inactive for an extended period

8.3 Effect of Termination

Upon termination:

  • Your access to the Service will be revoked
  • Domains registered under your account remain registered until their expiry date
  • Email mailboxes will be deleted after a 30-day grace period
  • Data may be retained as described in our Privacy Policy
  • Outstanding balances remain payable

9. Governing Law

9.1 Jurisdiction

These Terms shall be governed by and construed in accordance with the laws of the United States, without regard to conflict of law principles.

9.2 Dispute Resolution

Any disputes arising from these Terms or your use of the Service shall be resolved through:

  1. Informal Resolution: Contact us first at legal@subilex.com to attempt informal resolution
  2. Mediation: If informal resolution fails, the parties agree to mediation
  3. Binding Arbitration: If mediation fails, disputes shall be resolved through binding arbitration

9.3 Class Action Waiver

You agree that any dispute resolution proceedings will be conducted on an individual basis and not as a class, consolidated, or representative action.

11. Setting Up & Using Your Domain and Business Email

This guide explains how to register a domain and set up a professional business email address using Subilex. It is provided for informational purposes and forms part of our service documentation.

Quick start: Register a domain at /domain-provider.html, then create a mailbox at /email-providers.html.

11.1 Registering a Domain for Your Business

  1. Open Domain Search and type your desired name (e.g. yourbrand). As you type, live suggestions show availability across many extensions (.com, .net, .org, .io, etc.).
  2. Domains that are taken display a TAKEN badge with the registration year when known (e.g. TAKEN · 2021). Available domains, especially .com and .inc, are listed at the top.
  3. Click an available domain (or its Add to Cart button) and complete checkout from the cart. New .COM domains are eligible for the NEWCOM679 promo price.
  4. After registration, your domain appears under Profile → My Domains with its expiry date. Enable Auto-Renew there so you never lose it.

11.2 Using Your Domain

After a domain is registered it appears under Profile → My Domains. Open Domain Settings (from any domain in that list, or via /domain-settings.html?domain=yourdomain.com) to manage everything for that domain in one place:

  • Nameservers: point the domain at your hosting provider by entering two or more nameservers.
  • DNS Records: add, edit, or remove A, AAAA, CNAME, MX, TXT, NS, SRV, CAA, and URL records (see 11.8).
  • Domain Forwarding: redirect the whole domain to another URL (301/302/masked).
  • Email Forwarding: forward anything@yourdomain.com to any external inbox.
  • Options: toggle Auto-Renew, WHOIS privacy, domain lock, and list the domain for sale.
  • Transfer in: use the Transfer Domain tab to move an existing domain to Subilex. Unlock it and obtain the auth/EPP code from your current registrar first.
  • Transfer / delete: request an outbound transfer or release the domain from the Danger Zone.

11.3 Setting Up Business Email

A verified domain is required first (see Email Policy §5.2). Domains registered through Subilex are ready immediately; domains from other registrars must complete the one-time ownership check in 11.4.

  1. Go to Business Email and choose a plan (Basic or Business). Each plan includes a number of mailboxes and storage per mailbox.
  2. In Create a Mailbox, enter just the mailbox part (e.g. sales, info, john) or a full address (sales@yourbrand.com), type or pick your domain, and set a password (click the eye icon to check it).
  3. Click Create Mailbox to buy now, or Add to Cart to check out with other items. Quick-pick chips (info@…, support@…, sales@…) appear under the form once a domain has been added.
  4. The mailbox (e.g. sales@yourbrand.com) is provisioned on our self-hosted mail server and appears under Profile → My Email. Repeat up to your plan limit.
Note: addresses on free providers you don't own (gmail.com, outlook.com, …) are not possible — see §5.2.

11.4 Using a Domain from Another Registrar (Namecheap, GoDaddy, any provider)

You do not need to transfer your domain to Subilex to use it for email. On the Business Email page, find "Use a domain you already own":

  1. Enter your domain (e.g. yourcompany.com), optionally name your registrar, and click Add Domain. This works with any registrar — verification is DNS-based, not tied to a specific provider.
  2. Prove ownership: in your registrar's DNS panel, create the TXT record shown (Host/Name: _subilex-verify — most registrars append your domain automatically; Value: your unique token), then click Verify Now. DNS propagation can take from a few minutes to a few hours. Use Re-issue record for a fresh token or Cancel to remove a pending domain.
  3. Route your mail: after verification, add the Step 2 records shown (MX to the Subilex mail host, plus SPF and DMARC TXT records) at your registrar so mail for your domain reaches our servers.
  4. Create mailboxes exactly as described in 11.3.

Tip: typing a full address like info@yourcompany.com into the mailbox field automatically starts verification if the domain isn't on your account yet.

11.5 Connecting Email to Your Domain (DNS)

For reliable delivery, add these records to your domain (in Domain Settings → DNS):

  • MX record: point mail to the Subilex mail server (provided in your mailbox confirmation email).
  • SPF (TXT): v=spf1 include:subilex.com ~all
  • DKIM: publish the DKIM key from your mailbox confirmation email as a TXT record.
  • DMARC (TXT): v=DMARC1; p=quarantine; rua=mailto:dmarc@yourbrand.com

11.5 Accessing Your Mailbox

  • Webmail: sign in through the webmail link in your confirmation email.
  • Devices: use IMAP/POP3/SMTP with your full address (you@yourbrand.com) and the password you set. Incoming server: mail.subilex.com (mail.amemis.com per MAIL_HOSTNAME); outgoing (SMTP): same (ports 993 IMAP/SSL, 587 SMTP/STARTTLS). Example: info@clovisjillshoesstore.com + support@clovisjillshoesstore.com on Basic (3) or 5 on Business.
  • Manage & history: reset passwords, change quota, delete, toggle auto-renew, and see all mailboxes ever bought in Email Settings (history) vs buying in Business Email (store).
  • Buy a mailbox: create it directly on the Business Email page (pick Basic 3 / Business 5 → fill rows → Add all to Cart), or add it to your cart and check out with your domains and SSL in one purchase — CartPay.
  • Email forwarding: to send mail from any address at your domain to an outside inbox (e.g. your Gmail), set up Email Forwarding in Domain Settings rather than creating a full mailbox.

11.6 Securing a Domain with SSL (any registrar — same TXT as email)

SSL works with any registrar (Namecheap, GoDaddy, Cloudflare…) using the same TXT _subilex-verify ownership system as email (routes/email-providers.js:204 + routes/payment.js:14 sslDomainError). Domains bought via Subilex are auto-verified.

  1. Add domain: on SSL Certificates scroll to Use a domain you already own → type example.com (e.g. clovisjillshoesstore.com, shop.example.com) → Add Domain.
  2. Verify TXT: create TXT _subilex-verify.example.com → subilex-… at your registrar (Host _subilex-verify) → Verify Now — same token as email, so verifying for email also unlocks SSL.
  3. Pick SSL: choose Single $9.99/yr (secures example.com + www.example.com) or Multi $29.99/yr (up to 5 SANs) — only verified domains appear in the dropdown (pending shows ✗) → Add to Cart. Example: clovisjillshoesstore.com + www.clovisjillshoesstore.com on Single.
  4. Pay & install: CartPay (wallet/Stripe/PayPal, optional auto-renew yearly) → cert is pending until CA validation → Active in SSL Settings → download cert.pem / ca.pem and install via SSH (see below). History (all certs ever bought) is in Settings, buying is on the store page.
Backend: SSL is issued via OpenSRS Trust Service (routes/ssl-certificates.js:43 provisionSslCertificatesw_register with CSR from openssl req -new -newkey rsa:2048) when OPENSRS_SSL_ENABLED=truenot the Hetzner mail/DeployX SSH instance (that host is mail.amemis.com / 204.168.174.49 for email). Hetzner SSH is only for installing the issued PEM files: ssh user@your-server-ip/etc/ssl/yourdomain.com/cert.pemnginx -t && systemctl reload nginx (full snippet on SSL Certificates #sshGuide and SSL Settings).

11.7 Billing & Renewals

  • Domain registrations and mailbox subscriptions are billed from your account balance or a payment method at checkout.
  • Renew domains before expiry from Profile → My Domains. Expired domains may enter a redemption period and can be lost.
  • All sales are final per our Refund Policy.

11.8 Managing Your Domain in Domain Settings

Domain Settings (/domain-settings.html?domain=yourdomain.com) is the control panel for a single domain. Open it from Profile → My Domains (click a domain) or by adding ?domain= to the URL. Everything below is managed from the cards on that page.

11.8.1 DNS Records

Use DNS records to connect your domain to websites, email, and third-party services. On the DNS Records card:

  1. Click Add Record and choose a type: A (IPv4 address), AAAA (IPv6), CNAME (alias to another domain), MX (mail server), TXT (verification/SPF), NS, SRV, CAA, or URL (redirect).
  2. Enter the Host (use @ for the root, or a subdomain like www or mail).
  3. Enter the Value (target IP, hostname, or text). For MX records also set Priority (lower = preferred; e.g. 10).
  4. Set TTL (how long caches remember the record; 3600 seconds is a safe default).
  5. Click Save. Saved records appear in the list where you can Edit or Delete them. Changes propagate worldwide within the TTL.

Common examples:

  • Point a website: A @ → 1.2.3.4 and CNAME www → yourdomain.com.
  • Connect Subilex email: MX @ 10 → mail.subilex.com plus the SPF/DKIM/DMARC TXT records from 11.5.
  • Verify a service (Google, Microsoft, etc.): a TXT record with the value they give you.

11.8.2 Nameservers

If you host DNS elsewhere, enter your provider's nameservers on the Nameservers card. Records you set in Domain Settings only take effect when Subilex nameservers are in use; switching nameservers moves DNS control to the other provider.

11.8.3 Domain Forwarding

Redirect the entire domain to another URL without buying hosting:

  1. Open the Domain Forwarding card and toggle it on.
  2. Enter the Destination URL (e.g. https://your-other-site.com).
  3. Choose a type: 301 (permanent, good for SEO), 302 (temporary), or Masked (hides the destination URL in the browser address bar).
  4. Click Save Forwarding. Visitors to your domain are sent to the destination automatically.

11.8.4 Email Forwarding

Forward mail from any address at your domain to an existing inbox (Gmail, Outlook, etc.) without provisioning a full mailbox:

  1. Open the Email Forwarding card.
  2. Enter a Prefix (the part before @; e.g. info for info@yourdomain.com). Leave it as * to catch all mail.
  3. Enter the Forward To address (your real inbox).
  4. Click Add. Each forwarder can be toggled or removed from the list. Mail sent to that address is delivered to your external inbox; you can reply from there or set up a matching mailbox later.

11.8.5 Options & Danger Zone

  • Auto-Renew: keep your domain active automatically each year.
  • WHOIS Privacy: hide your contact details from public WHOIS lookups.
  • Domain Lock: prevent unauthorized transfers.
  • List for Sale: put the domain on the marketplace with a resale price.
  • Transfer Out / Release: in the Danger Zone, request an authorization code to move the domain elsewhere, or release it entirely.

Tip: most users only need DNS Records (to point a site or email) and optionally Domain Forwarding. Start there, and add Email Forwarding when you want mail without a full mailbox.
